Impulse Recruitment are currently recruiting for a PA/ Office Manager to the Directors for a large company based in South Dublin
The ideal candidate will have a lot of experience working as an Office Manager/ PA at least 5 years supporting Senior Management
Document Control experience would be a plus for this role
Purpose:
The PA to the Directors works closely with senior management to provide administrative support and is the first point of contact with people from both inside and outside the organization. |
Responsibilities:
The main responsibility of the PA is to support the work of the company directors, and can include the following: Producing documents, briefing papers, reports and presentations, as required Setting up new project folders on the network and assignment of project number against same Ensuring that the Joint Managing Directors’ emails are filed Dealing with Clients over the phone Screening phone calls, inquiries and requests, and handling them when appropriate Meeting and greeting visitors at all levels. Organization of refreshments/catering for vising clients and/or CPD events Organizing/maintaining diaries and making appointments if required Dealing with incoming communications – i.e. emails, faxes, etc. Ensuring that the Directors are prepared for meetings Liaising with clients, suppliers and other staff Stay up-to-date on all relevant software packages Liaise with any temporary staff and provide instruction and training where necessary Undertake training as required by practice needs and/or changing standards Document management for FTP sites Assist and prepare project BID Documentation Comply with ISO Quality, Environmental and Health & Safety Management System requirements i.e. perform your work according to your process documents, procedures and maintaining document information/completing department forms/records as required. Understand and apply our quality policy statement in all aspects of your work. Contribute towards achieving company objectives Ensure that the needs and requirements of clients are understood and delivered. Help develop and improve internal processes and management system by reporting corrective actions, updates and improvement ideas. The PA reports to the 4 Directors. |
Skills/Training/Competencies:
Proficiency in Microsoft Office (Word, Excel, PowerPoint/ Web Portal document uploading) and presentation software and production of presentation At least 5 years supporting Senior Management Strong communication and organizational skills |
