Job Purpose
This role supports the Design Studio, Production & Sourcing Manager by managing data entry, supplier coordination, and administrative tasks across production and procurement processes. The successful candidate will play a key role in maintaining accurate records, monitoring timelines, and ensuring smooth communication with suppliers, internal teams, and logistics partners.
Key Responsibilities
Data Entry & Database Management
- Input and update key production data across internal spreadsheets and systems, including product specs, costings, and supplier details
- Maintain and organise digital files and shared documents to ensure traceability and easy access
Procurement & Supplier Support
- Assist in preparing and issuing purchase orders
- Maintain up-to-date supplier price lists and product quotes
- Record and track production lead times, delivery schedules, and sample approvals
- Monitor and report on stock levels and repeat order triggers in line with seasonal planning
- Support the buying team in reviewing and analysing product performance data
- Assist in cost price comparisons and margin analysis for new and existing ranges
Production & Logistics Coordination
- Track progress of ongoing orders and flag delays or issues to the manager
- Prepare data reports for supplier reviews, production planning meetings, or customer updates
- Ensure all product and packaging information is correctly documented ahead of production and shipping
- Support with customs documentation, shipping schedules, and quality control checks
Administrative Tasks
- Organise barcode records, supplier compliance documents, and tracking spreadsheets
- Create and issue barcodes to customers, ensuring alignment with new and existing product catalogue. Ensuring new products are logged to customer portals in a timely manner EG – SAP, Ariba, PIMS.
- Schedule meetings and maintain accurate notes and follow-up actions
- Provide general admin support to the Buying and Design teams as required
Skills & Experience Required
- Comfortable working with spreadsheets and data (Excel)
- High attention to detail and accuracy in data entry
- Strong organisational and time management skills
- Professional communication skills for supplier and internal correspondence
- Ability to manage multiple priorities in a deadline-driven environment
- Interest or some exposure to merchandising or stock planning (desirable but not essential).
Desirable Attributes
- Experience in a data entry, supply chain, procurement or production administration role
- Experience with barcode systems or inventory management software
- Interest in manufacturing, procurement, or retail supply chains
- A proactive attitude and willingness to learn new systems and processes
- A passion for greeting cards, paper goods, or design-led products is a big plus.
- Previous administrative experience or work experience in a retail, product, or creative industry is a bonus.
