Job Purpose:

The HGV Fleet Maintenance Manager is responsible for overseeing the maintenance, servicing, and compliance of the company’s Heavy Goods Vehicle (HGV) fleet. This role ensures that all vehicles are maintained to the highest standards of safety, reliability, and legal compliance, while minimizing downtime and controlling maintenance costs.

Key Responsibilities:

Fleet Maintenance Management:

  • Manage all aspects of fleet maintenance including servicing, repairs, inspections, and breakdowns.
  • Develop and implement a proactive preventative maintenance schedule for the fleet.
  • Monitor and control maintenance costs, ensuring efficient use of resources.
  • Ensure compliance with statutory inspections such as CVRT, tacho calibrations, and roadworthiness certificates.
  • Registration of fleet vehicles (trucks/trailers) in the appropriate jurisdictions.
  • Maintain up-to-date service records, defect reports, and maintenance logs for all vehicles.

Workshop & Vendor Coordination:

  • Oversee in-house workshop operations and manage relationships with external maintenance providers and dealerships.
  • Schedule and prioritize workshop workloads to minimize vehicle downtime.
  • Negotiate service agreements, pricing, and warranty claims with suppliers and manufacturers.
  • Ensure availability of necessary parts, tools, and equipment to support maintenance activities.

Compliance & Safety:

  • Ensure all maintenance activities are conducted in line with health, safety, environmental, and legal requirements.
  • Conduct regular fleet audits and ensure adherence to RSA (Road Safety Authority) regulations and company policies.
  • Manage vehicle defect reporting and rectification processes promptly and effectively.
  • Support in accident investigations from a mechanical/fleet perspective.

Team Management:

  • Plan, schedule, and assign work to fleet maintenance staff members or outside contractors as appropriate.
  • Lead, manage, and develop a team of mechanics, fitters, and maintenance staff.
  • Conduct performance reviews, training, and skills development for workshop personnel.
  • Foster a culture of continuous improvement, teamwork, and high standards.
  • Chair team meeting and attend management meetings as required.

Reporting & KPI Management:

  • Produce regular reports on fleet availability, maintenance KPIs, costs, and compliance status.
  • Monitor and report on fleet performance indicators including downtime, repair turnaround, and maintenance spend.
  • Identify trends and implement corrective actions to improve fleet efficiency and reliability.
  • Support the investigation and resolution of reported issues due to accidents or other incidents.
  • Support and take part in continuous improvement programs, projects and risk assessments pertaining to the area under your control.
  • Other related duties as assigned.

Key Skills & Competencies:

  • Strong technical knowledge of HGV mechanical systems and maintenance practices.
  • Excellent organizational, planning, and time management skills.
  • Proven ability to manage budgets and control costs.
  • Strong leadership and people management abilities.
  • Proficient in fleet management systems and Microsoft Office.
  • Analytical thinking and problem-solving mindset.
  • Excellent communication and negotiation skills.

Qualifications & Experience:

  • Minimum 5 years’ experience in a similar fleet maintenance or workshop management role within the transport or logistics sector.
  • Recognised qualification in vehicle mechanics (e.g., QQI, City & Guilds, or equivalent).
  • Comprehensive understanding of Irish and EU transport legislation and compliance standards.
  • Full, clean HGV driving license (advantageous).

Working Hours:

  • Monday to Friday, 8:30 AM – 5:30 PM
  • Flexibility required for out-of-hours emergencies or breakdowns.
