Overview:

This role is responsible for supporting the end-to-end transport coordination and customer service functions within the frozen food distribution process. The position involves daily communication with 3PL logistics providers, internal departments, and customers to ensure high service levels, product integrity, and efficient delivery performance. The role requires strong attention to detail, the ability to work under pressure, and a customer-first attitude.

Key Responsibilities:

Customer Service:

– Act as the first point of contact for customer queries, order changes, and service-related issues.

– Ensure all customer communications are handled professionally and in line with company service standards.

– Provide updates on delivery status, resolve complaints, and escalate issues where needed.

Transport Coordination:

– Liaise with 3PL providers to confirm booking slots, dispatch times, and routing.

– Monitor daily frozen/chilled deliveries, ensuring temperature control compliance.

– Investigate delivery issues such as short deliveries, delays, or rejected loads, and coordinate resolutions.

Order Management & Systems:

– Ensure all orders are entered, amended, and tracked accurately in the ERP or transport management system.

– Record and escalate recurring issues to support continuous improvement initiatives.

Compliance & Documentation:

– Ensure all transport documentation is completed accurately and archived as per food safety regulations.

– Support audits by maintaining clear traceability records for all outbound deliveries.

– Monitor and report any non-conformances, especially relating to temperature breaches or service failures.

Collaboration & Communication:

– Work closely with the Warehouse, Sales, and Planning teams to align outbound delivery schedules with stock availability and order priorities.

– Build positive working relationships with external logistics partners and internal stakeholders.

Key Skills and Experience:

– Previous experience in a transport or customer service role, ideally within food or FMCG sectors.

– Strong communication and coordination skills.

– Proficient in Excel and order/transport systems (e.g., WMS, ERP).

– Understanding of cold chain transport and customer service expectations.

Desirable:

– Experience working with 3PL partners and in a temperature-controlled logistics environment.

– Knowledge of HACCP, BRC, or food safety compliance procedures.

– Familiarity with KPIs and transport-related reporting.
