Assistant Freight Manager

Impulse Recruitment are currently recruiting for an Assistant Freight Manager for a large company based in North Dublin

Responsible to Freight Operations Manager and / or approved Company designate

Working Hours: Monday to Friday, 9am to 5.30pm.


Main Duties and Responsibilities:

Export Duties will include:
• Oversee bookings, check rates / costs at time of booking receipt to ensure accuracy and correct handling
• Place and monitor the bookings at all times, through shipping line and Airline tracking systems
• Organise transport on shipments as required
• Send booking confirmation to customer to confirm all details on the booking
• Issue customs documentation – export SAD and maintain files and adhere to process and quality systems as set out
• Issue bills of lading / airway bill and confirm shipment on board and arrange to scan documents or post as required to destination agent/customer
• Ensure all file documentation is uploaded to edocs on system
• Invoice the file and update accruals in full
• Solve accounts queries in a timely manner by email or phone, fast turnaround required
• Address all customer communications within a short time frame
• Ensuring any customer reports are updated and completed in a timely manner

Import Duties will include:
• Oversee bookings , check rates / costs at time of booking to ensure accuracy and correct handling
• Place and Monitor the booking at all times through carrier tracking systems
• Send Booking confirmation to customer confirming schedule details in a timely manner
• Preparation of documents and liaising with overseas agents to cut final documents to Aramex.
• Arrange customs clearance handing as required / collection of any fees Vat / duties in advance and arrange transport for the shipments as required
• Invoicing of files and full accruals update
• Manage customer paperwork as required through edocs on Aramex system
• Solve accounts queries in a timely manner by email or phone, fast turnaround required
• Address all customer communications within a short time frame
• Ensure any customer reports are updated and completed in a timely manner

Management Duties will include:
• Price jobs / projects as per customer requirements
• Follow up on specific customer quotes, and provide clarification around commercial aspects
• Participate in the review of customer and job profitability
• Attend customer meetings, where required
• Delegation of operational duties to air / sea members
• Oversee daily operations of team to ensure all tasks are followed up and completed within required time frames
• Support team members on training requirements that arise, team development is important
• Oversee handover process when team members are going on planned leave or have to take unexpected leave from the office
• Maintain high level of customer service at all times, fast response and turnaround on all tasks and activities
• Ensure operations team follow SOP/SLA internally for all service processes to meet customer and company requirements
• Assist senior management and finance teams on reporting or queries that arise within a timely manner

Minimum Key requirements include
• 3 years management experience within a freight forwarding environment
• Support a KPI driven culture to optimize efficiency in operations team
• Excellent communication and leadership skills required with the ability to motivate the operations team, provide instruction and guidance to allow development of team members to excel
