The experienced Office Manager with the commitment and range of skills to help manage the agency’s day to day operations and routine finances, support the executive teams and ensure high professional standards in all aspects of the firm’s service.

 Legal, accountancy, PR firm experience would be ideal

Reporting to the Managing Director, the responsibilities currently include:

  • Managing all operations to ensure the smooth running of the service.
  • Setting up and managing administrative processes and filing to support the executive teams.
  • Managing office procedures and implementing and documenting company policies.
  • Handling HR functions (payroll information, staff leave, staff expenses, recruitment, onboarding, training, staff files, procedures, staff handbook etc).
  • Maintenance of office equipment, ordering office supplies, memberships.
  • Monthly reports from time management system to support client billing.
  • Basic accounts – sales invoices, sales and purchase ledgers, bank reconciliation, credit control and liaison with external Accountants re tax, bank etc.
  • Collection and office filing of financial information, client contracts.
  • Computers/IT functioning, maintenance and troubleshooting.
  • Supervision of office ‘housekeeping’ (i.e. cleaning, repairs etc).
  • Ensuring the confidentiality and security of all office processes and health and safety policy.
  • Assisting on tenders and updating the company website.

The right candidate will have all or most of the following:

  • At least 5 years as Office Manager and/or Accounts Manager in a professional services firm.
  • Proven ability to solely manage the administration of an enterprise, ideally of similar or larger size.
  • Strong communication, teamwork, time management and organisational skills.
  • Computer skills, proficient in MS Office.
  • Experience of HR and basic accounts.
  • Ability to work autonomously, self-directed, used to high levels of responsibility.
  • Ability to work consistently to deadlines.
  • Attention to detail, accuracy, multi-tasking.
  • Positive approach with strong interpersonal skills.
