Office Administrator

Impulse Recruitment are currently recruiting for an Office Administrator for a large company based in D 12

This is a Full Time Permanent position and a fantastic opportunity

The ideal candidate will have worked within a similar role multitasking and delving into the following sectors across the office e HR, H& S, Accounts and company secretarial tasks

We are seeking a strong candidate who has a passion for all aspects of the office and can work on their own initiative also

. Prior experience in managing desirable but not required, we are looking for someone with great work ethic and good problem solving skill

Duties would include;

HR

  • Support recruitment, selection and induction process, placing adverts, arranging interviews, candidate communications
  • Onboarding of new staff, maintaining annual/sick/study leave records
  • Ensuring all HR documentation is up to date, including contracts, employee handbook, staff records
  • Communicate office procedures to staff on a regular basis
  • Maintain and ensure all necessary staff are fully compliant in CPD hours
  • Issuing of wellness surveys and assisting management in actioning recommendations
  • Liaising with IT company in providing functioning work stations and IT requirements for all staff.
  • Organizing work VISAs for some staff members and assisting with relocation

Health & safety

  • Ensure H&S compliance, organizing quarterly maintenance of H&S equipment
  • Ensure all new staff are made familiar with H&S procedures
  • Updating H&S compliance portal

Accounts and office Administration

  • Reception Management
  • Actioning invoice requests from all staff
  • Dealing with phone/email queries from clients
  • Providing requested letters/documentation for clients
  • Input and update client records on internal system
  • Maintaining client AML documentation is in place and up to date
  • Manage ongoing administration issues, day to day management support

Company secretarial

  • Actioning various filings with CRO, company incorporations, share transfers, amending company details, uploading accounts
  • Some PA duties e.g. diary management, travel, lunch booking
  • Organizing staff/client gifts
  • Organizing social events
  • Deal with suppliers, facilities companies
