Position Summary:
Reporting to the Operations Manager, this role will provide administrative support to the warehouse
functions. The Logistics Administrator is responsible for organising and recording all movement of
finished product and conducting reconciliations, maintaining systems and ensuring all data is recorded
in the appropriate databases enabling the delivery of best practice service to the client. The Logistics
Administrator is expected to maintain a professional and effective relationship with all internal and
external parties.
Essential Responsibilities:
• Acting as the point of contact for the logistics team, provide daily operational support to
customers, serving as a central communication hub for all forward and reverse logistics-
related matters
• Pricing, arranging and coordinating transportation services to ensure timely delivery of goods
while optimizing transportation costs
• Planning and coordinating time-sensitive deliveries and collections of products using the
company’s software system, ensuring smooth and efficient operations
• Coordinating and monitoring time-sensitive requests and deliveries, ensuring they are
completed promptly and accurately
• Liaising between internal and external clients and shipping companies to resolve any
operational challenges
• Cultivate positive relationships with vendors and customers to facilitate smooth returns and
prompt resolutions
• Ensuring compliance with applicable regulations and laws governing transport and logistics
• Assessing customer requests to ensure compliance with existing vendors’ terms and condition
• Preparation, support and maintenance of accurate records and documentation in relation to
import and export requests within and outside EU and related queries
• Ensure all shipments are shipped off the system and collected each day
• Identifying opportunities to streamline processes, reduce costs, and improve overall logistics
efficiency
• Leveraging logistics software and tools to optimise processes, track shipments, and improve
decision-making
• Addressing customer inquiries, concerns, and requests related to logistics and delivery
• Ongoing administration and support covering annual leave within the operations team and
its functions
• Any other ad hoc duties as required
Knowledge, Skills and Abilities:
• Computer literate, and proficient using MS Office particularly Outlook, Excel
• Ability to organise and prioritise tasks
• Excellent interpersonal and organisational skills
• Meticulous attention to detail, with ability to multitask and problem solve
• Experience working with SAP would be an advantage
• Ability to work on own initiative without supervision, as well as part of a team and diversify
across other functions and activities as necessary
• Good interpersonal and communication skills, with an excellent level of verbal and written
English
• Flexible approach to work and willingness to work outside normal hours
• Excellent timekeeping and attendance are essential
