Facilities Assistant

Impulse Recruitment are currently recruiting for a Facilities Assistant for a large company based in Dublin 1

The ideal candidate will maintain local building fabric (including adhoc painting works) and to assist in other works such as building condition audits, coordinator of sub-contractors and meeting room set-ups.       

Duties

  • Report any maintenance issues which you notice onsite through the CAFM system.
  • Issuing permits to contractors and accompanying them while they are on site.
  • Identify and report hazards and incidents.
  • Impeccable completion of paperwork including work orders and uploading of service reports to the system.
  • Management of Contract Access process and ensuring all contractors attending our client site are registered correctly
  • Respond to calls logged with the Facilities Helpdesk. Investigate the nature of the problem and seek a speedy resolution.
  • Provide a professional greeting to clients and staff to generate a professional and welcoming atmosphere.
  • Problem solving ensuring a solution for all required tasks in a timely manner.
  • Carry out daily building and system checks.
  • Assist the team with sourcing and organising parts.
  • Ordering consumables.
  • Report on outstanding Work Order and PPMs, follow-up with the Management team with updates.
  • Completion of planned preventative maintenance of general building fabric such as ad-hoc painting, carpet tile replacements, door maintenance etc.
  • Assist in emergencies such as light leaks etc.
  • Assisting with deliveries / cleaning if necessary.
  • Meeting room set-ups in line with client requirements and inspections to ensure rooms are always ready for client use.
  • Assist with set-up of lunch meetings as required and cleaning afterwards.
  • General portages duties; assisting with moves, replenishing water cups etc.
  • External grounds checks / litter picking as needed.
  • Stock control of Catering/Cleaning/Stationery consumables, replenishing and ordering as needed.
  • Completion of building cleaning audits with the Cleaning Contracts Manager.
  • Coordination of service contractors to ensure visits are scheduled on time and completed to SLAs.
  • Provide additional support to both the Facilities Engineer and Facilities Manager as required.
  • Support the on-site Facilities Technician with PPMs/Reactive works as needed.
  • Travel to the clients city centre office to support with all/any of the above mentioned tasks on a scheduled or unscheduled basis.

Requirements

  • High standard of housekeeping and safety awareness.
  • Ability to work on own initiative with minimum supervision.
  • Ability to prioritise reactive tasks in order of urgency and impact to business.
  • Positively and actively contribute to and participate in continuous improvement activities in the site team.
  • Excellent communication and interpersonal skills.
  • Ability to understand and implement the Acacia permit to work system (training will be provided).
  • Ability to complete relevant paperwork in relation to work orders and the permit to work system.
  • Proficient in Microsoft Office particularly Outlook and Excel
  • .
  • Full clean drivers’ licence and access to a vehicle.
  • Experience in use of CMMS (computerised maintenance management system) is advantageous.
